1. Scope
This Privacy Policy applies to the TalkU mobile application (the "App" or "TalkU") on iOS, Android, and related services. By using the App, you agree to the data practices described here. If you do not agree, please stop using the App.
This policy is provided to meet Apple App Store, Google Play, and applicable privacy law requirements. It describes what data we collect, how we use it, who we share it with, and your choices.
2. Information We Collect
To provide CRM, contact management, meeting notes, reminders, and AI assisted features, we may collect the following types of personal data. We collect this information when you create an account, enter or import data in the App, use device permissions you approve, interact with AI features, or when the App sends diagnostic data for reliability.
- Account information: Name, email address, username, password (stored in encrypted form), company affiliation, user role, and authorization identifiers from Google Sign-In or Sign in with Apple.
- Phone numbers: Numbers you provide in contact profiles, business card scans, manual entry, or device contact imports. If you authorize contact import, phone numbers from your address book may be uploaded to our servers for synchronization and management.
- Location and address information: TalkU does not continuously track your real-time GPS location. We collect location related information only when you provide it, such as contact addresses, company addresses, meeting venues, or geographic details entered in notes, for customer profiles and scheduling.
- Contact data: Names, companies, job titles, emails, phone numbers, addresses, and other fields you choose to import or enter.
- Media and files: Business card photos, QR codes, profile images captured or selected from your device; voice recordings used for meeting notes and voice features.
- Device and push information: Device type, operating system version, app version, and Firebase Cloud Messaging (FCM) or Apple Push Notification service (APNs) tokens for notifications and service reliability.
- Usage and diagnostic data: Crash logs and error reports via Firebase Crashlytics to improve stability. We do not intentionally collect sensitive user content in crash reports.
- Local preferences: Language choice, UI preferences, and some cached data stored locally on your device.
- AI feature inputs: Text, voice transcripts, meeting notes, customer profile fields, and related business content you choose to submit when you actively use an AI feature (such as summaries, task extraction, or sales insights). This data is sent to third-party AI providers only after you give in-app consent, as described in Section 5.
3. iOS and Android Permissions
TalkU requests device permissions only when needed for features you use. You may deny permissions in system settings; related features may not work.
- Contacts: Optional import of address book data when you choose to sync contacts.
- Camera: Business card scanning and profile photo capture when you initiate those actions.
- Photo Library: Selecting existing images for profiles or attachments when you choose to upload.
- Microphone: Voice meeting notes and voice input when you start a recording.
- Notifications: Reminders, workflow alerts, and system messages.
- Face ID / Touch ID / Biometrics: Optional app lock. Biometric data is processed on your device by the operating system; TalkU does not receive or store biometric templates.
TalkU does not access the camera, microphone, or contacts in the background without your action.
4. How We Use Information
We use collected information to:
- Create, authenticate, and maintain your account;
- Provide contact management, customer profiles, workflows, reminders, and AI features;
- Sync data you authorize across devices;
- Send business reminders, workflow notifications, and system messages;
- Protect the App and services, and detect abuse or unusual activity;
- Improve product experience, fix errors, and enhance performance;
- Comply with applicable laws and regulations.
5. Third-Party AI Services
TalkU includes optional AI-assisted features (such as meeting note summaries, voice-to-text transcription, task extraction, follow-up suggestions, and sales insight reports). These features use third-party artificial intelligence service providers to process content you submit. This section explains what data is sent, who receives it, how we obtain your permission, and how that data is protected.
Important: TalkU does not send your personal data to a third-party AI service unless you actively choose to use an AI feature and agree to the in-app disclosure shown before your data is transmitted. Declining consent means you can still use non-AI features of the App.
5.1 AI Features That May Share Data
Depending on the feature you use, TalkU may send data to a third-party AI provider when you:
- Generate a summary or action items from meeting notes or voice recordings;
- Transcribe voice input into text;
- Extract contact or business information from scanned business cards or uploaded images;
- Request sales insights, customer summaries, or suggested follow-ups based on CRM data you select;
- Use any other in-app tool labeled as AI-assisted or powered by AI.
5.2 What Data Is Sent to Third-Party AI Providers
When you use an AI feature and provide consent, TalkU may transmit only the data needed for that specific request. This may include:
- Text content: Meeting notes, messages, task descriptions, and other text you enter or select for AI processing;
- Voice and transcripts: Audio recordings you start for voice notes, and text transcripts derived from those recordings;
- Contact and CRM context: Names, company names, job titles, phone numbers, email addresses, addresses, and related customer profile fields that you include in the AI request or that the feature needs to generate a relevant response;
- Images for OCR or analysis: Business card photos or other images you choose to submit for AI extraction;
- Technical request metadata: A pseudonymous request identifier, feature name, language preference, and timestamp so the provider can process the request and return a result to TalkU.
What we do not send to third-party AI providers for AI processing: Your account password, biometric data, full device contact list (unless you explicitly include selected contacts in an AI request), payment or billing information, or unrelated files and notes you have not chosen to submit to that AI feature.
5.3 Who Receives Your Data (Third-Party AI Providers)
TalkU uses the following categories of third-party AI service providers to power AI features. Data is sent to the provider needed for the specific feature you use:
- OpenAI, LLC (United States) — large language model and speech processing services. Privacy policy: openai.com/policies/privacy-policy
- Google LLC (Google Cloud / Gemini API, United States and other regions) — language, vision, and speech AI services where applicable. Privacy policy: policies.google.com/privacy
- Microsoft Corporation (Azure OpenAI Service, where applicable) — enterprise AI processing. Privacy policy: privacy.microsoft.com
We may update or change AI providers over time. If we add a new third-party AI provider that processes personal data, we will update this policy and, where required, ask for your consent again before sharing data with that provider.
5.4 Your Permission Before Data Is Shared
Before TalkU sends personal data to a third-party AI service for the first time, the App shows a clear in-app notice that:
- Identifies that a third-party AI service will process your data;
- Describes the types of data that will be sent for the feature you are using;
- Names the third-party AI provider (or providers) involved;
- Links to this Privacy Policy for full details;
- Asks you to tap Agree or Decline before any data is transmitted.
Your choice is stored on your account or device. You may withdraw AI consent at any time in Settings → Privacy → AI Data Sharing, or by disabling individual AI features. If you withdraw consent, TalkU stops sending new data to third-party AI providers, but previously generated AI outputs may remain in your account until you delete them.
5.5 How Third-Party AI Providers Use and Protect Data
Third-party AI providers process your data only to perform the AI feature you requested on TalkU's behalf. We contractually require these providers to:
- Process personal data only according to our instructions and applicable law;
- Apply security measures comparable to those described in Section 9 of this policy;
- Not use your personal data to train their public models or for their own advertising, unless you separately opt in to such use (TalkU does not enable this by default);
- Delete or return data after processing, subject to their documented retention limits for abuse monitoring and legal compliance.
Data sent to AI providers is transmitted over encrypted connections (HTTPS/TLS). TalkU does not use third-party AI processing for unrelated advertising profiling.
5.6 AI Output Accuracy
AI-generated summaries, suggestions, and extracted fields may be incomplete or inaccurate. Review AI outputs before relying on them for business, legal, or compliance decisions. You remain responsible for verifying information before acting on it.
6. Storage and Location
- Local storage: Login credentials, language preferences, and some cached terms and business data are stored in secure areas on your device.
- Cloud storage: Contacts, customer profiles, meeting notes, reminders, and account related data you create or sync are stored on TalkU backend servers, which may be located in secure data centers outside your region.
- Third party services: Push notifications are delivered via Firebase Cloud Messaging and Apple Push Notification service; authentication may involve Google Sign-In and Sign in with Apple. These providers process data only as needed to deliver their services.
- Biometric data: Face ID, Touch ID, or fingerprint data is managed by your device operating system. TalkU does not collect or upload biometric templates.
7. Third-Party Service Providers
We use trusted third parties to operate TalkU. They may process personal data on our behalf under contractual safeguards:
- Google Firebase: Push notifications (FCM), crash reporting (Crashlytics), and related infrastructure.
- Google Sign-In: Optional account authentication.
- Sign in with Apple: Optional account authentication on iOS.
- Third-party AI providers: OpenAI, Google Cloud AI (Gemini), and/or Microsoft Azure OpenAI, as described in Section 5, to power optional AI features only after you provide in-app consent.
- Cloud hosting providers: Secure storage and delivery of synced app data.
We do not sell your personal data to third parties for their own marketing purposes.
8. Tracking and Advertising
TalkU is a business productivity app, not an advertising platform. We do not use your data for cross-app tracking for targeted advertising. We do not request App Tracking Transparency (ATT) permission on iOS for ad tracking because we do not engage in that practice.
9. How We Protect Information
We apply reasonable technical and organizational safeguards, including:
- Encrypted transmission (HTTPS/TLS) for data in transit;
- Encryption of sensitive credentials such as account passwords;
- Access controls limiting employee and system access to production data;
- Industry standard services (such as Firebase) for push delivery and crash monitoring;
- Local biometric app lock (Face ID or fingerprint) to prevent unauthorized access on your device;
- Periodic review of data practices and timely remediation when security risks are identified.
No method of internet transmission or electronic storage is completely secure. Please keep your credentials confidential and sign out after using shared devices.
10. Sharing and Disclosure
We do not sell your personal data. We may share necessary information only when:
- You give explicit consent;
- Providing CRM services to your employer or organization (if you use TalkU as an enterprise user);
- Working with trusted service providers for hosting, push delivery, authentication, or AI processing (only after your consent for AI), subject to confidentiality and security obligations;
- Required by law, court order, or legitimate government request;
- Reasonably necessary to protect the rights, safety, or property of TalkU, users, or the public.
11. Your Rights and Choices
Depending on applicable law (including GDPR, UK GDPR, CCPA/CPRA, and similar laws), you may have the right to:
- Access, correct, or update your account and profile information;
- Delete specific contacts or business data in the App (with confirmation before removal);
- Revoke device permissions for contacts, camera, microphone, photos, or notifications in system settings (some features may become unavailable);
- Withdraw consent for third-party AI data sharing in Settings → Privacy → AI Data Sharing, or decline AI consent when prompted in the App;
- Request account deletion or erasure of personal data associated with you;
- Object to or restrict certain processing, where applicable;
- Receive a portable copy of your data, where applicable;
- Opt out of the sale or sharing of personal information (TalkU does not sell personal information);
- Obtain the latest version of this policy.
To exercise these rights, contact us using the details in Section 16. We will verify your request and respond within the timeframe required by applicable law.
12. Account and Data Deletion
You may delete your TalkU account at any time:
- In the app: Go to Settings → Account → Delete Account and confirm.
- By email: Send an account deletion request to support@talku.app from your registered email address.
After verified deletion, we stop using your personal data for operational purposes and delete or anonymize it within a reasonable period (typically within 30 days), except where retention is required by law, dispute resolution, or security purposes.
13. Data Retention
We retain personal data only as long as necessary for the purposes described in this policy, or as required by law. After account deletion or a verified erasure request, we stop using the data for operational purposes and delete or anonymize it within a reasonable period, unless retention is legally required.
14. International Data Transfers
TalkU may process and store data in countries other than where you live. Where required, we use appropriate safeguards such as standard contractual clauses or equivalent mechanisms to protect personal data transferred internationally.
15. Children
TalkU is intended primarily for business users with full legal capacity and is not directed to children under 13 (or the minimum age in your jurisdiction). We do not knowingly collect personal data from children. If you believe a child has provided us personal data, contact us and we will take appropriate steps to delete it.
16. Policy Updates
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date. If changes materially affect your rights, we will notify you in the App or by other appropriate means. Continued use of the App constitutes acceptance of the updated policy.
